    6. AI Data Processing

    Certain PiTech features may use AI-assisted systems to generate, classify, summarize, analyze, route, or support content and workflows.

    Users should not submit highly sensitive personal information unless expressly required and adequately protected. PiTech does not guarantee the accuracy, completeness, or legal suitability of AI-generated outputs and disclaims liability to the maximum extent permitted by law.

    7. Call Recording and Communications Monitoring

    Where PiTech provides communication, receptionist, support, or AI phone functionality, calls or communications may be recorded, transcribed, monitored, summarized, or analyzed for quality assurance, training, fraud prevention, documentation, and service delivery purposes, subject to applicable law.

    PiTech may retain call audio for up to 12 months and transcripts for up to 24 months unless a different retention period is required or permitted by law, contract, or customer configuration.

    8. Disclosure to Service Providers and Subprocessors

    PiTech may disclose personal information to service providers, contractors, infrastructure providers, communications vendors, analytics providers, payment processors, and other subprocessors where reasonably necessary to operate the Services.

    Such parties are expected to handle information only for authorized purposes and subject to appropriate confidentiality, security, and contractual obligations.

    9. Payment and Financial Data Processing

    Payment transactions may be processed through third-party providers, including Stripe. PiTech does not store full payment card details where processing is delegated to the payment processor.

    Billing, recurring charges, refund handling, and related commercial issues are governed by our contractual terms and applicable payment workflows.

    10. Cross-Border Data Transfers

    Personal information may be stored, accessed, or processed outside your province or outside Canada, including in the United States or other jurisdictions where our providers operate.

    Information processed in foreign jurisdictions may be subject to lawful access by courts, regulators, law enforcement agencies, or national security authorities in those jurisdictions.

    11. Data Retention

    PiTech retains personal information only for as long as reasonably necessary for the purposes described in this Policy, unless a longer retention period is required or permitted by law, contract, dispute preservation needs, audit requirements, or legitimate business necessity.

    12. Security and Breach Response

    PiTech uses administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, misuse, disclosure, alteration, and destruction.

    If PiTech determines that a material security incident affecting personal information has occurred, PiTech will provide notice as required by law and, where commercially and legally appropriate, aims to notify affected parties within 72 hours of confirming a significant breach.

    13. Access, Correction, and Rights Requests

    Subject to applicable law, individuals may request access to, correction of, or information about personal information held by PiTech.

    PiTech may require reasonable identity verification before responding and may limit or decline a request where legally permitted, including where the request is excessive, repetitive, technically infeasible, or affects the rights of others.

    14. Business Customer Responsibility

    Where PiTech provides Services to business customers, those business customers remain responsible for the legality of the data they collect, the notices they provide, the consents they obtain, and their compliance with applicable privacy, marketing, and communications laws, including CASL where relevant.

    PiTech acts as a technology provider unless expressly agreed otherwise in writing.

    15. Changes to This Privacy Policy

    PiTech may update this Privacy Policy from time to time to reflect changes in law, technology, product design, operational practice, or vendor relationships.

    Continued use of the Services after updated terms are posted constitutes acceptance of the revised Policy to the extent permitted by law.
